The warning comes too late: a customer order is ready to ship, but the bin is empty and the replacement shipment is still days away. A reorder point can help prevent that scramble, but only when it reflects your sales or production demand and the time your supplier really takes to deliver.
Start with demand and lead time
A useful starting point is the amount of an item you expect to use while waiting for replenishment, plus a separate buffer for uncertainty. For example, if a shop consumes a fairly steady number of fittings each week, look at recent usage and the time between placing a purchase order and receiving usable stock.
Use receiving records rather than relying only on a supplier’s quoted lead time. Shipments can arrive early, late, or in partial quantities, and a delivery recorded on the dock may not be available for production until it has been checked in.
Make the alert usable
Before choosing software, check whether it can store units of measure, supplier lead times, and a reorder threshold for each item. A case of 24 and a single unit are not interchangeable, and a system that mixes purchase units with stock units can make an alert look precise while pointing to the wrong quantity.
Ask how the tool handles open purchase orders and stock reserved for customer jobs. If it counts stock that is already committed as freely available, its reorder signal may arrive later than your team needs.
Tune it with actual receipts
Treat the first threshold as a working estimate, not a permanent setting. Compare the alert with what happened over several replenishment cycles, and adjust when demand patterns, supplier timing, or your chosen buffer change.
